Signing up and the free trial
How do I sign up?
Go to orvaly.ai/signup. Use your Google account, or enter your email and we'll send you a 6-digit code to confirm it. Then choose Just me or My team, add a few details and agree to the terms.
Is there a free trial?
Yes. Orvaly is free for 30 days, with no card needed. A trial includes 4 hours of recording and meetings of up to 8 people. It has an AI limit of its own. Or choose a plan from the start.
What happens when my trial ends?
Your account stays open, and everything you've recorded stays. You can choose a plan at any time, and before your trial ends Orvaly shows you your choices.
We email the admins on your account before your trial ends, and Home shows how many days are left.
Why am I on a waiting list?
Places on the free trial are limited. When the places are taken, you can join the waiting list or choose a plan and start straight away.
When a place is ready for you, we email you to say you can sign in. You can choose a plan at any time while you wait.
Can I have more than one free trial?
Each person can have one free trial.
Plans and paying
What plans are there, and what do they cost?
There are two plans, Core and Premium. Core takes meetings of up to 30 people and Premium up to 100. Premium also includes Rooms (beta). Prices are on our pricing page, on the Billing page and at checkout. You pay the price shown, in the currency shown.
How do I pay?
Choose a plan when you sign up (Continue to payment), or an admin chooses one later on the Billing page. You pay on Stripe's secure checkout page, and Stripe keeps your card details. We then email you “Your Orvaly plan is confirmed”.
How do I change my plan?
On a plan for one person, open Billing and press Switch to Premium or Switch to Core. A switch to Premium starts as soon as the payment goes through, and you pay for the rest of the month that day. A switch to Core starts when the period you've paid for ends, and you can keep Premium any time before then.
On a team plan, each person's plan is set on the Team page: an admin chooses Move… beside the person, then Core or Premium.
Where are my invoices?
On the Billing page. Each invoice has View and PDF links, which open on Stripe. Manage on Stripe opens your Stripe billing page, where you can update your card. Billing is for admins.
How do I cancel?
An admin can cancel at any time: on Billing, choose Manage on Stripe, or write to support@orvaly.com. Your plan runs until the end date you are shown when you cancel, and everything you have recorded stays. The terms (opens in a new tab) say more.
Is VAT added? Can I sign up as one person in the EU?
No tax is added to the price. In the EU, Orvaly is for businesses: choose My team when you sign up.
Inviting your team
How do I invite someone?
An admin opens Team and presses Invite a member, enters their email and presses Send invitation. We email them the invitation, and you can also copy the link and send it yourself. An invitation lasts 7 days. On Team you can copy a waiting invitation's link again or revoke it.
What does the person I invite do?
They open the link, confirm their email with Google or a 6-digit code, add their name and press Join the team. If they used a code, they then set a password. They join as a member, and an admin can change their role on Team.
Does adding someone change my bill?
On a team plan, each person has a seat. Nothing is charged when you send the invitation. When they accept, their seat is added to your bill, and you pay only for the time left until your next billing date. If you already pay for a spare seat, they take it and your bill stays the same.
Can a Just me account invite people?
A Just me account is for one person. Team accounts can invite people.
How do I remove someone?
An admin opens Team and chooses Remove beside the person. They lose access to your business at once. Their own account, and any other business they belong to, carry on as before. Their seat ends at your next billing date. To pause someone's access instead, choose Suspend, and Restore them whenever you like.
Meet
How do I start a meeting?
Open Meet and press Start instant meeting. The meeting opens in a new tab at meet.orvaly.ai, with a link you can copy and share. To plan one, press Schedule meeting: everyone you invite gets an email with the link and a calendar entry.
Can people without an Orvaly account join?
Yes. Send them the link. They choose Join as Guest, enter their name and press Request to join. They wait in the lobby until a host admits them. Anyone from your business who is in the meeting is a host and can Admit or Deny.
How many people can be in a meeting?
Up to 8 on the free trial, 30 on Core and 100 on Premium. When a meeting is full, the next person is told, and they can try again when someone leaves.
Will people know an AI is in the meeting?
Yes. Everyone sees this before they join: “Transcription, summaries and meeting assistance are provided by Astra, Orvaly's AI.”
Is the meeting recorded? What about consent?
A host starts recording when they're ready. Meet writes what people say into a live transcript, and what you keep is the record Astra writes from it. Once it starts, everyone sees “Meeting is being transcribed.” and is told their microphone is being captured. A host can pause, resume or stop it.
Guests are told before they join: “By joining, you consent to your microphone being captured and transcribed when the host starts the recording.” You're responsible for getting any consent your recordings need, as the terms (opens in a new tab) say.
What happens after the meeting?
When a host ends the meeting, Astra writes the record: a summary, the decisions and the actions. With Auto save it goes straight to your business's Vault. With Review first, a host checks it before it saves. You'll find it under Previous meetings in Meet. During the meeting, a host can copy the live transcript.
Which browsers work for Meet?
Meet runs in your web browser on a computer or a phone. Sharing your screen works in Chrome or Edge on a computer.
Transcribe
What is Transcribe?
Transcribe turns speech into a written record without hosting a meeting. It can capture a call in another browser tab (Zoom, Teams or Google Meet), a conversation in the room, or a note to yourself. Open it from Meet with Transcribe a call, and it opens at transcribe.orvaly.ai. When you press Stop, Astra writes the record and you choose Save to vault.
Which browser do I need?
“A call in another tab” needs Chrome or Edge on a computer, because it captures the sound from that tab. When you pick the tab, tick “Also share tab audio”, or the record will have your voice but not theirs. “In the room” and “Just me” use your microphone.
Do I need permission to transcribe a call?
Yes. You're responsible for getting any consent needed before recording, and Transcribe says so under Start. Transcribe listens through your browser, so tell the people on the call yourself.
How long can I record?
Recording uses your plan's recording time, shown on the Plan & usage page. On a paid plan for a business, recording carries on past the plan's hours, and each extra hour is charged at the rate shown on Plan & usage, on your next invoice.
On a paid plan for one person, recording pauses when the hours are used, until they reset, unless you've turned on extra hours. In a free trial, it pauses until you choose a plan or your trial ends. Your meetings carry on, and Transcribe tells you when recording stops.
If nothing is heard for 20 minutes, capture stops on its own, with a warning first.
The Vault
How do I add files?
Open Vault and press Add to vault. Upload one file of up to 20 MB, or use Bulk for up to 50 files at once, 20 MB each. You can drag and drop. Orvaly reads and summarises documents such as PDF, Word, PowerPoint and Excel. It stores images, audio and other files as they are, and you can always download the original. Each file the AI reads counts once on your AI limit.
Can I make folders?
The Vault sorts itself. Its folders group everything by type, such as meetings, transcriptions and documents, and by year and month. To find anything, type in Search the vault, or press Enter to search with AI.
I deleted something. Can I get it back?
Yes, for 30 days. When you delete something you own, it moves to Recently deleted. Press Recently deleted on the Vault page to restore it, or to delete it forever. If a colleague owns it, they're asked to approve the deletion first, and they have 7 days to decide.
Who can see what's in the Vault?
Everyone on your account shares your business's Vault.
Astra, Rooms and the AI limit
What is Astra?
Astra is Orvaly's AI. It transcribes meetings, writes the summaries and records, answers questions from what's in your Vault, and drafts documents when you ask. Open it from Astra in the top bar. Astra works from your Vault, the decisions and actions from your meetings, and your Chat conversations, and it can search the web. Astra asks before it sends or schedules anything for you.
Is there a limit on AI?
Yes. Every plan has an AI limit, and so does the free trial. It's one limit across all AI features. It counts a message to Astra, a question in a meeting, a document the AI reads in your Vault, a search from your own AI app and Build the document in Rooms. Your plan card says “Included, up to your plan's AI limit”.
Astra tells you when you've used 80%. When you reach the limit, Orvaly tells you the day and time you can use AI features again. The limit counts what you've used over the last 30 days.
What is Rooms?
Rooms (beta) is part of Premium. A room is a shared space where your team and Astra talk a piece of work through, and Astra builds a document from the discussion. Open it from Rooms in the top bar.
Using Orvaly from your own AI app
Can I use Orvaly from ChatGPT or Claude?
Yes. An admin first turns on Connecting AI tools to Orvaly, in Account settings → Connections. Anyone on your account can then connect their AI tool. To connect, add Orvaly to your AI tool as a connector, using https://mcp.orvaly.ai/mcp, sign in with the email you use for Orvaly and the code we send, and choose what the tool may read.
What can my AI tool do with Orvaly?
It reads what you allow: your Vault documents, your decisions and actions, and your meetings and chats. It can only read, and never changes or deletes anything. Each Vault search counts on your AI limit. What your AI tool reads goes to that tool's provider, under their terms.
How do I disconnect it?
An admin can turn Connecting AI tools to Orvaly off, which stops every AI tool on your account at once. Turning it back on lets them work again. A connection that goes unused for 30 days ends on its own.
Your brand on exports
How do I put my brand on the files I export?
An admin opens Account settings → Brand. Add your logo (a PNG or JPEG, up to 2 MB) and a square icon (at least 128 × 128 pixels), and choose a brand colour and an accent colour. Or press Learn from my documents, and Orvaly suggests a look from your Word or PowerPoint files. Nothing changes until you save.
Once you save, the Word, PDF and PowerPoint files you export carry your logo and colours. You can download a sample of each.
Where do I export?
In the Vault, open a document and press Export, then choose Word, PDF, PowerPoint or Markdown. In Astra, a document's export button offers Word, PDF or PowerPoint. In Rooms, choose Export as Word or Export as PDF.
Your data and privacy
Where can I read how you handle my data?
Read our Privacy Policy (opens in a new tab), Your data (opens in a new tab) and Terms of Service (opens in a new tab), and AI at Orvaly (opens in a new tab) for how our AI works. In Orvaly, Account settings → Privacy and data links to them too.
How do I get a copy of my data, or correct it?
Open Account settings → Privacy and data and press Request a copy or Ask for a correction. Each opens an email to privacy@orvaly.com. We reply within one month.
How do I ask you to erase my data, or close my account?
To delete your own account and data, open Account settings → Privacy and data and press Delete my data. It opens an email to privacy@orvaly.com. We reply within one month. Content your business holds about you is for your business to decide: we pass your request on and tell you we have. Using Orvaly on your own? You'll see Close the business account instead. It closes your account and deletes its data.
To close your business's account, an admin opens Account settings → Privacy and data and presses Close the business account. It opens an email to privacy@orvaly.com. When your business's account closes, we delete its data, except where the law requires us to keep it. To stop paying without closing the account, an admin cancels the plan on Billing.
Getting help
How do I get help?
In Orvaly, press Help at the bottom right of the page, or choose Get help from your account menu. Astra, our AI assistant, answers first. When something needs one of our people, it hands you over and we reply by email. You can always email support@orvaly.com.
Something isn't working. What do I do?
Press Get help on the message you see, or email support@orvaly.com and quote the reference it shows.
